Pre-Qualification of Suppliers for Various Goods and Services

Date of issue 27th July, 2026 The Ekhaya Group of Companies intends to develop a concise list of suppliers to be used for the purposes of the Request for Quotation (RFQ) procurement method. The Ekhaya Group invites potential bidders to submit expressions of interest for pre-qualification for the supply of goods, works, and services to the Business Units within the Group. Local suppliers, including small and medium enterprises (SMEs), are encouraged to apply. Bidders are allowed to apply for pre-qualification in any category of their expertise. The available pre-qualification categories are illustrated in the tables below. CATEGORY A: SUPPLY AND DELIVERY OF VARIOUS GOODS S/N DESCRIPTION 1 Supply and delivery of general stationery 2 Supply and delivery of toners and cartridges 3 Supply and delivery of ICT Equipment and accessories, software and hardware and printers 4 Supply and delivery of various Refrigeration and general electronic equipment 5 Supply and delivery of Uniforms 6 Supply and delivery of Office furniture and equipment 7 Supply and delivery of Personal Protective equipment (PPEs) and promotional materials 8 Supply, fitting and alignment of motor vehicle tyres and accessories 9 Supply and installation of air conditioners 10 Supply of hardware, plumbing and building materials 11 Supply of general and office cleaning materials and chemicals 12 Supply of packaging materials 13 Supply of electrical materials CATEGORY B: PROVISION OF VARIOUS SERVICES S/N DESCRIPTION 1 Refrigeration and general electronic equipment maintenance and calibration 2 ICT equipment maintenance (laptops, desktops, printers) 3 Motor vehicle services and maintenance 4 Provision of relocation services 5 Provision of Travel agency services 6 Maintenance of telephone and installation of voice and data network/ materials, PABX systems 7 Repairs of office furniture and fittings 8 Provision of Statutory audit services 9 Provision of Office and warehouse cleaning services 10 Provision of security services 11 Provision of Gardening services 12 Provision of Transport services 13 Provision of Graphic designing services 14 Provision of Printing and photocopying services 15 Provision of Advertising and promotional services 16 Provision of fumigation and pest control services 17 Provision of courier services 18 Maintenance of Electrical and Equipment services including generators, motor pumps, 19 General building and maintenance contractors 20 Provision of Welding and fabrication services 21 Provision of plumbing services 22 Provision of photography and videography services 23 Provision of waste and sanitary removal and sewer services 24 Provision of Carpentry services INSTRUCTIONS TO APPLICANTS Interested applicants must meet the following minimum requirements: ELIGIBILITY CRITERIA Be a legally registered business entity. Have a valid tax registration and clearance certificate. Have relevant experience in supply of goods or services in the category applied for. Demonstrate financial and technical competence. Comply with ethical business practices and regulatory requirements. Bidders are advised to apply for prequalification in any category of their expertise, and free to bid for one or more lots. SUBMISSION FORMAT Documents must be clearly typed and written in English. All submissions should be bound, stamped and signed by authorized personnel. Submissions must be delivered in a sealed envelope, clearly marked’ ’Prequalification for {Category name}’’ to the address provided. Bidders are advised to make three (3) copies of the submitted documents and pay a non-refundable fee of MK25,000.00 to be deposited to the following Bank account details (Proof of payment / deposit slip / transfer confirmation to be enclosed together with the submitted bidding documents): FDH Bank Umoyo Branch Account Number 1850003491479 Ekhaya Distribution Centre EVALUATION CRITERIA The prequalification will be based on the following evaluation criteria: S/N Evaluation Criteria 1 Category of expertise 2 Power of attorney 3 Business registration certificate 4 MRA tax registration certificate 5 MRA valid tax clearance certificate 6 PPDA registration certificate 7 Copy national identity(ies) for Directors 8 Comprehensive company / business profile 9 List of recent contracts of similar nature performed within the past 3 years 10 Three reference letters/client feedback from previous customers within the past 3 years 11 Evidence of access to credit facilities i.e. bank reference / guarantee letters 12 Availability of staff and equipment and qualifications of key staff. 13 Evidence of capacity and ability to deliver the goods / supply the services. SUBMISSION Interested suppliers should submit their applications together with the following documents: Business registration certificate; Detailed profile of the business including the name, registered address, telephone numbers, location, physical address, e-mail and profile of the key staff; A copy of Tax Registration Certificate and Tax Clearance Certificate for the 2025-2026 financial year; A valid PPDA Certificate; Minimum of three clientele references from reputable Organizations. Submit your completed pre-qualification documents in sealed envelopes clearly marked on the envelopes “Pre-qualification of Suppliers/Service Providers” to be hand delivered to the address below by close of business day on Friday, 7th August 2026.
